Jakoma is the controller of personal data described in this notice. We use this site to provide consultancy information, take enquiries, and support our Independent Living Tech service for families supporting an older relative at home.

What this notice covers
This notice applies to:
- visitors to jakoma.org;
- people who contact us by email, web form or Tally form;
- prospective and current consultancy clients; and
- prospective and current Independent Living Tech clients and family contacts.
The personal data we collect
- Website and enquiry data: name, email address, phone number, service area information, referral source, and the details you enter in forms or emails.
- Independent Living Tech enquiry data: information about the home, routines, support arrangements, device preferences, concerns such as wandering, falls, lack of movement or calling for help, and whether broadband or Wi‑Fi is available.
- Project and client records: quotes, invoices, visit notes, device lists, installation records, support history and correspondence.
- Technical data: limited device, browser and usage information needed for security, site operation and, where you consent, analytics.
Please do not submit more health or care detail than is needed for us to understand your enquiry. If you are enquiring on behalf of another person, please only share information you are comfortable sharing and that is relevant to the service requested.
Where we get personal data from
- directly from you;
- from a family member or other authorised contact making an enquiry on someone else’s behalf;
- from your organisation where you contact us as part of a professional referral; and
- from basic website analytics if you accept analytics cookies.
Why we use personal data and our lawful bases
- To respond to enquiries, arrange calls and provide quotations — our legitimate interests in operating and growing Jakoma, and taking steps at your request before entering into a contract.
- To deliver services you ask us to provide — performance of a contract.
- To keep records, manage billing, and handle complaints — performance of a contract, legal obligations, and our legitimate interests in running the business responsibly.
- To keep the site secure and functioning — our legitimate interests and, where strictly necessary, essential cookies.
- To measure site usage — your consent, where analytics cookies are used.
Independent Living Tech: important privacy points
The Independent Living Tech service is non-clinical. We aim to collect only the information needed to assess whether we can help, design a suitable setup, install agreed third-party devices, and support the family contact after handover.
- We do not provide emergency response monitoring or clinical care.
- Any cameras, microphones or household monitoring tools must be used lawfully and transparently by the client or family after handover.
- The client or family remains responsible for deciding who receives alerts and how they respond.
- If a family member makes an enquiry for someone else, we rely on them to share information fairly and appropriately.
Who we share personal data with
We share personal data only where necessary for the purposes above. Depending on the service, this may include website hosting providers, form and email providers, analytics providers (only if you consent), payment or accounting providers, professional advisers, insurers, and selected device or platform providers needed to deliver the agreed setup.
We do not sell personal data.
International transfers
Some suppliers may process data outside the UK. Where that happens, we expect appropriate safeguards to be in place, such as adequacy regulations or approved contractual protections.
How long we keep personal data
- General enquiries not taken forward: up to 12 months after the last meaningful contact.
- Client records, quotes, installation records and support history: up to 6 years after the end of the client relationship, unless a longer period is needed for a legal claim or regulatory reason.
- Invoices and accounting records: as long as required by tax and accounting law.
- Analytics data: according to the settings of the analytics platform and your cookie choices.
Your rights
Depending on the circumstances, you may have the right to ask for access to your personal data, correction, erasure, restriction, objection, or data portability. You may also withdraw consent for analytics cookies at any time.
If you are unhappy with how we handle personal data, you can complain to the UK Information Commissioner’s Office.
